Human Resources – Recruiting Coordinator – United States – Remote
The HR Recruiting Coordinator is a key contributor within the Human Resources team, providing support across various HR areas including recruitment, onboarding, offboarding, client communication, and compliance reporting. This role works closely with HR leadership, collaborates with internal stakeholders at all levels, and partners with clients to ensure smooth HR operations. Maintaining confidentiality, professionalism, and actively supporting organizational goals are essential components of this position.
Key Responsibilities

Manage inquiries related to recruiting and onboarding through designated inboxes, ensuring timely resolution or escalation as needed.

Work with department leaders to address questions, troubleshoot concerns, and escalate issues appropriately.

Oversee the entire onboarding process, including background checks, health screenings, drug testing, and compliance with client-specific requirements.

Coordinate with clients, operations, and vendors to keep onboarding procedures up to date, efficient, and easily accessible.

Maintain comprehensive and accurate records for onboarding, recruiting, and background verification using internal tracking tools.

Administer I-9 documentation and support the E-verify process to ensure compliance with federal regulations.

Escalate onboarding or access-related challenges to recruiting or HR teams when necessary.

Support recruitment activities by maintaining the applicant tracking system, ensuring prompt candidate communication and accurate hiring documentation.

Communicate essential new hire information to internal teams such as IT, training, and management to facilitate smooth onboarding.

Maintain digital personnel files, generate reports, and prepare required documentation to support HR processes.

Collaborate with clients, vendors, and internal teams to ensure compliance with organizational policies and industry standards.

Proactively identify and resolve issues while responding efficiently to requests.

Manage offboarding activities including conducting exit interviews, collecting company property, and updating personnel records.

Participate in daily team check-ins and regular departmental and client meetings.

Prepare offer letters and other onboarding paperwork accurately and in a timely manner.

Update and maintain job descriptions for new roles, ensuring postings are current in HRIS and SharePoint systems.

Represent the company professionally through effective communication with candidates and external partners.

Oversee the temp-to-hire program by coordinating with staffing agencies, tracking temporary staff hours, and facilitating candidate transitions.

Support additional HR initiatives and departmental projects as needed.

Qualifications

Bachelor’s degree in Human Resources or a related discipline preferred.

At least 4 years of administrative experience in HR or a closely related function.

Demonstrated ability to handle sensitive information confidentially and build trust with colleagues and stakeholders.

Excellent organizational skills with strong attention to detail and the ability to manage multiple priorities effectively.

Clear and professional communication skills, both written and verbal, to support hiring managers and resolve issues.

Comfortable asking thoughtful questions to gather necessary information and clarify needs.

Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Adobe applications.
