About the Role
As an Administrative Assistant, you will provide strategic and reliable support to 5 senior-level executives, helping them focus on high-priority tasks while ensuring smooth daily operations. Reporting to the Executive Assistant Manager, you will collaborate closely with the Executive Assistant and Admin Assistant team. This role offers growth opportunities as the company scales, allowing you to contribute to strategic projects and organizational initiatives.
Key Responsibilities
- Executive Support: Provide administrative support to 5 senior executives, including calendar management, scheduling meetings, and booking travel.
- Expense and Vendor Management: Reconcile expense reports and manage vendor accounts through Coupa, ensuring timely account reconciliation.
- Event Planning: Coordinate logistics, timelines, and budgets for team offsites and internal company celebrations.
- Confidentiality: Handle sensitive and confidential information with discretion and professionalism.
- Process Improvement: Identify opportunities to improve processes and workflows to enhance operational efficiency.
- Calendar and Meeting Management: Manage and prioritize schedules for critical meetings and events, ensuring smooth preparation and execution.
- On-Site Support: Oversee logistics, staff, vendor coordination, and communication during in-person events.
- Documentation and Follow-Up: Track key activities, ensure critical documents are managed, and proactively follow up on open tasks.
- Proactive Assistance: Anticipate future needs and provide support to ensure executives remain focused on their strategic objectives.
Qualifications
- Experience:
- 3+ years of administrative support experience, preferably with SVPs or higher-level executives.
- Experience in large organizations (2,000+ employees) is a plus.
- Skills:
- Exceptional attention to detail: You ensure accuracy in all aspects, from names to time zones.
- Strong organizational skills: You track key activities, predict future needs, and ensure no tasks are overlooked.
- Professional and approachable: You proactively offer assistance while maintaining appropriate boundaries.
- Fast response time: You address requests promptly, with direct executive needs/questions answered within 4 hours on workdays.
- Confidentiality: You understand and respect the importance of handling sensitive information.
- Flexible availability: You can provide occasional evening/weekend support and on-call assistance when needed.
- Technical Skills: Familiarity with tools like Coupa and Applicant Tracking Systems (ATS) is preferred.
- Travel: Willingness to travel for leadership and EA offsites as needed.
