Position Overview

We are looking for a dedicated Administrative Assistant to provide strategic and dependable support to five senior executives. In this role, reporting to the Executive Assistant Manager, you will work closely with the broader Executive Assistant team to streamline daily operations, allowing executives to focus on high-impact priorities. This position offers room for growth and the opportunity to engage in important organizational projects as we continue to scale.

Key Responsibilities

  • Executive Support: Manage calendars, coordinate meetings, and arrange travel plans for five senior leaders.

  • Expense & Vendor Coordination: Handle expense report reconciliation and maintain vendor accounts via Coupa, ensuring timely payments and accurate records.

  • Event Coordination: Plan logistics, schedules, and budgets for company events, including team offsites and celebrations.

  • Confidentiality: Maintain the highest level of discretion when handling sensitive company and personnel information.

  • Process Optimization: Identify and implement improvements to existing administrative workflows to increase efficiency.

  • Meeting Management: Oversee scheduling and preparation for critical meetings, ensuring seamless execution.

  • On-Site Event Support: Manage vendors, staff coordination, and communication during in-person events.

  • Documentation & Follow-Up: Keep track of key tasks and documentation, proactively following up to ensure completion.

  • Proactive Assistance: Anticipate executive needs to provide timely support, enabling them to concentrate on strategic initiatives.

Qualifications

Experience:

  • Minimum of 3 years providing administrative support to senior-level executives (SVP level or higher preferred).

  • Experience in large-scale organizations (2,000+ employees) is advantageous.

Skills:

  • Meticulous attention to detail with accuracy across scheduling, documentation, and communications.

  • Strong organizational capabilities to manage multiple tasks and foresee upcoming needs.

  • Professional demeanor paired with approachability and a proactive mindset.

  • Rapid response time, addressing executive inquiries within 4 hours during business days.

  • Commitment to maintaining confidentiality and handling sensitive matters responsibly.

  • Flexibility to provide occasional evening, weekend, or on-call support as needed.

  • Familiarity with platforms like Coupa and Applicant Tracking Systems is a plus.

  • Willingness to travel occasionally for leadership retreats and team events.
